The three things a rep needs
A rep on a show floor has ninety seconds between meetings. In that window they need to know exactly three things. What is my next meeting and where. What does the rest of my day look like. Where do I put the notes from the one I just finished.
That is the whole rep experience. Next meeting, schedule, notes. Everything beyond that belongs to the coordinator, and putting it in front of the rep is what gets the tool closed.
Every tool I watched fail at a booth failed the same way. It asked the rep to learn someone else's job.
Build the two jobs separately
Running an event is two jobs. The coordinator builds and adjusts the whole plan. The rep executes their slice of it. A tool that uses one screen for both will always be too heavy for the rep and the rep is the one who has to adopt it.

How to test for adoption before you buy
When you take a demo, do not let the vendor only show you the manager dashboard. That screen always looks good. Ask to see exactly what a rep sees on their phone during a show.
If the rep is handed the same screen as the manager, your team will not use it. If the rep view is its own simple thing, you have a tool that will still be accurate on day three.
