Why does software to run booth meetings cost $7,500 an event?

Because it is priced for Fortune 1000 procurement, not for the work. Software to coordinate customer meetings at events runs from roughly $7,500 per event to $50,000 or more a year, almost always custom quoted by a sales rep with no public price. There is no technical reason it costs that. The work is the same whether you run two events or twenty.

Where the price actually comes from

The category was built for the enterprise. Jifflenow, now part of Cvent, sells to Fortune 1000 companies with dedicated event operations teams. Lodago starts around $10,000 and quotes every deal custom. The number you are given reflects the sales motion behind it. Long procurement cycles, annual contracts, a customer success manager assigned to your account.

None of that is the cost of running the software. It is the cost of selling it the enterprise way, and it gets passed to you.

What a custom quote really means

When a vendor will not put a price on the page, that is a decision, not an oversight. Custom pricing exists so the vendor can charge each buyer the most that buyer will bear. A large company gets one number. A smaller company gets another. Neither one can compare notes.

No public price means no benchmark. No benchmark means you have no way to know whether you are overpaying. Usually you are.

Coordinating meetings, rooms, and a team is a well understood workflow. It is not a six figure problem.

Why it should not cost that much

A booth runs on four things. Customer meetings, rooms, demo stations, and the people working shifts. Keeping those aligned while the schedule moves is real work, but it is a known shape of work. It does not require a platform sized for a company with a thousand events a year and a procurement department to match.
