How do you coordinate customer meetings across multiple reps at an event?

Why separate calendars fail

The common setup is each rep on their own calendar, plus a master spreadsheet with one tab per room. Each rep can see their own day. The coordinator can see the spreadsheet. Nobody can see the whole thing at once, live.

That gap is where double bookings live. The conflict is already on a calendar. It just has not been noticed yet, and at an event you usually notice it when the customer is standing in the wrong room.
