Fifteen People, Three Rooms, Three Days.

The spreadsheet version of this looks like one tab per room and one tab per rep. The room tabs show who is in each meeting but not who else is available. The rep tabs show who each person is meeting but not which room they are in. Getting the full picture requires having all of it open at once and reconciling it manually in your head.

That is the static version. The live version, where meetings are being created, moved, and canceled across a show floor in real time, is a different problem entirely. The spreadsheet that was accurate at 9am on Monday is partially wrong by noon and significantly wrong by Tuesday.

Two Ways to See the Same Schedule

Knowhere's schedule view shows the event in a grid format on two axes. The first is by Space: each meeting room or demo station is a column, time is the vertical axis, and every meeting block appears in the correct slot. At a glance, you can see which rooms are full, which rooms have open time, and when things are running simultaneously.

The second view is by team member: each person on the team is a column, meetings appear in their lane, and you can see who is in back-to-back meetings all day and who has gaps. This is the coverage view. When the floor gets busy and a walk-in needs a rep, the by-person view tells you in two seconds who is available.

Both views update in real time. A meeting created by the manager on their laptop appears on the rep's schedule on their phone before the rep walks to the room.

Day Navigation

A multi-day event does not show all three days at once. The schedule starts on today, with previous and next buttons to move between event days and a date picker to jump to a specific date. The current time is marked on the grid so the manager can orient to what is happening right now versus what is coming next.

Room and person column headers stay pinned while you scroll down the time axis. At a show with early morning and late afternoon meetings, scrolling through the day without losing track of which column is which matters.

From Grid to Meeting

Clicking any meeting block on the grid opens the full meeting sheet. From there: edit, duplicate, check in, delete. The schedule grid is not just a view. It is the navigation layer for the whole event.

Every rep sees the same schedule at the same time. When a customer asks "when is my meeting?" and the rep pulls up their schedule in Knowhere and reads off the time and room, that answer is the same answer the manager would give from their laptop. One version of the truth, seen by everyone.
