Let Customers Get on Your Schedule Before the Show Opens

The email thread starts three weeks before the show. A prospect saw your speaker announcement. They want to meet at the event. They reach out to someone on your team. That person forwards it to someone else. Someone else sends a list of times. The prospect replies with a counter. By the time the meeting is actually confirmed, five people have touched the thread and the booking is still not on anyone's calendar.

That is the version where the prospect was motivated enough to chase you down. Most of them are not. They think about reaching out, do not see a clear way to do it, and add you to their list of potential conversations that might happen organically on the floor. Some of those happen. Many do not.

A public booking page removes both problems at once.

What It Does

Every event in Knowhere gets a branded booking page with your company logo, event dates, and a welcome message you control. Prospects and customers visit the page, pick a date, choose from available time slots, enter their name, email, company, and what they want to talk about, and submit. A request lands in your queue. Nothing goes on the calendar without your approval.

The booking page respects your team's actual availability. It shows only the slots that are open given the hours you have set for the event, the availability each team member has confirmed, and any meetings already on the books. A slot that would cause a conflict does not appear as available.

You can also turn on individual booking pages per team member, scoped to that person's own availability. Useful when customers have a specific rep they want to see, or when you want to route different types of meetings to different people.

The Approval Gate

Every request that comes in sits in a pending queue before it becomes a meeting. The event manager reviews it and approves or declines. Approving opens a pre-filled meeting form with the attendee information already loaded and conflict detection already running. Declining sends a note to the requester.

This matters because a lot can change between when a prospect submits a request and when the show starts. The meeting may need to move to a different time. A different rep may be the right person to take it. An executive may have joined the trip and the meeting should be escalated.

Embedding It

The booking page also comes as an embeddable widget. Drop the embed code into your event announcement email, your pre-show landing page, or your conference microsite and the booking flow works anywhere.

Why This Replaces the Email Thread

The manual email thread for booking meetings has a few consistent failure modes. It is slow. It requires someone on your team to manage it manually. It scales poorly when the volume of inbound interest goes up. And it does not connect to the rest of the schedule.

The public booking page closes the loop. A request comes in, gets approved, becomes a real meeting with a real calendar invite, and lives in the same schedule the rest of the team is working from.
