It is the Thursday before a Monday show. The booth is being shipped. The team roster is finalized. The customer meetings that were coordinated over the last six weeks need to be consolidated somewhere. The schedule that existed in the planning spreadsheet needs to become the actual working schedule the team will use on the floor.
This is when the event coordination tool that seemed like a good idea three months ago becomes an obstacle. Importing the data is a project. Configuring the rooms requires someone who knows the system. Getting the team set up with access takes a day. By Sunday night the whole thing gets abandoned and the spreadsheet stays the plan.
What the Setup Wizard Does
Knowhere's event setup wizard is five steps. The whole flow takes about ten minutes.
Step one is event details: name, location, dates, timezone. The timezone detects automatically from the location. Step two is Spaces: add the rooms and demo stations where meetings will happen, with capacity and location notes for each one. Step three is team: select which team members are going to this event. Step four is operating hours: set the daily meeting window with the schedule builder creating 30-minute slots across each event day. Step five is sharing: turn on the public booking page and send team invites.
That is it. The event is live. The booking page is working. Team members have access and will receive their invite emails. The manager can start creating meetings.
What Happens After Setup
The Configure section of each event lets the manager update anything from the wizard. Details, Spaces, team, hours, and sharing settings all have their own tabs inside Configure. The Financial tab is where booth costs go. The Briefing section is where logistics cards and announcements go for the team's pre-event prep.
Multiple Events
The All Events view in the Hub shows every event the company has run, past and upcoming. Creating a new event takes the same five-step wizard each time. There is no limit on how many past events stay in the system. The history from every prior event stays accessible after the event ends.
The Unlock
The setup friction is the reason teams stay on spreadsheets. The spreadsheet takes five minutes to create and it is already open. The tool that takes three hours to configure loses before it starts.
Knowhere's setup is designed to win that comparison. Ten minutes to a working event. Not a demo, not a sandbox, a real event the team can use Monday morning.
Ten minutes to a live event.
