This happens more often than the missed scheduled meetings do. The scheduled meeting has a contact record, an invite, and a rep assigned to it. The walk-in has none of that. They are invisible until someone physically intercepts them, and at a busy show, that does not always happen.
What the Kiosk Does
Knowhere's kiosk is a tablet screen placed at your booth that gives every person who walks up three options: check in to a scheduled meeting by name or check-in code, register as a walk-in to be greeted by someone on the team, or request a meeting on the spot.
The kiosk uses your event branding and requires no login. It is not a badge scanner. Walk-in registrations go directly into a live queue on the event manager's Overview dashboard. The manager sees who is there and can assign them to an available rep immediately. The walk-in is no longer invisible. They are in the system, they are in the queue, and someone is on their way.
The Check-In Flow
For scheduled meetings, check-in works from the meeting sheet on any device. The rep opens the meeting, marks each attendee as present or absent, and the attendance record is closed. Walk-ins who show up for a scheduled meeting can be added on the spot.
When every expected attendee is checked in, Knowhere records the attendance summary automatically: attended count, internal versus customer split, walk-ins added, and no-shows. That record travels with the meeting and feeds into the event's post-show analytics.
There is also a starring feature. During check-in, the rep can mark any contact as a lead directly from the meeting sheet. That flag shows up in the contact's record, in the account history, and in any post-event export. No separate lead capture device, no second system.
Why It Matters for the Numbers
Post-event, the walk-in is often one of the harder data points to recover. If it was not logged anywhere at the time, it simply does not exist in the record. The meeting that happened but was never captured is indistinguishable from the meeting that never happened.
Attendance data also feeds the ROI picture. Cost per meeting attended is a real metric. Neither of those numbers is meaningful if the walk-ins are invisible. Getting them into the system at the moment they arrive is the only time it is easy to do.
