The meeting was confirmed. Emails were exchanged. Both sides agreed on Tuesday at 11am in Room 3. Then the event started, Tuesday got busy, and when 11am came around the customer was not in Room 3. The rep waited eight minutes, sent a text, got no response, and moved on.
The customer arrived at 11:14 with an apology. They had lost track of the time and had nothing in their calendar to remind them.
This is one of the most preventable failures in trade show meeting management and one of the most common. The meeting was real. The commitment was real. The follow-through broke because the meeting did not exist in either party's calendar.
What Knowhere Does
Every confirmed meeting in Knowhere sends a real calendar invite to all attendees by email. The invite is a standard iCal file, compatible with Google Calendar, Outlook, and Apple Calendar. The recipient clicks it, accepts it, and the meeting lives on their calendar like any other appointment.
The invite carries your company's branding: logo, color, and the event name. For the customer receiving it, the invite is not a calendar notification from some scheduling tool they have never heard of. It is a calendar notification from you.
Updates trigger updated invites. If the meeting moves from 11am to 2pm, all attendees receive an updated iCal. If the meeting is canceled, attendees receive a cancellation that removes it from their calendar automatically.
RSVP
Every invite carries one-click RSVP links: Accept, Maybe, and Decline. The customer clicks Accept from inside their email client without needing a Knowhere account. Their response is recorded against the meeting and visible to the event manager and the rep immediately.
This gives you a real signal before the show starts about which confirmed meetings have accepted attendees versus which are still technically unconfirmed on the customer's end. It creates the attendance record that feeds into post-show analytics: not just "this meeting was scheduled" but "this meeting was accepted and attended."
For the Rep
Team members also receive calendar invites for the meetings they are assigned to. A rep with six meetings Tuesday has six calendar events, with the correct time, room, and attendee list. When Tuesday happens, the rep's personal calendar is the accurate version of their schedule.
Busy Time In
Team members can forward outside calendar events into Knowhere to block their time. Forward the invite to their personal Knowhere inbox address and that time is marked as busy in the system. Conflict detection respects it. The manager scheduling a meeting for that rep will see the block before confirming.
Calendar invites in Knowhere meet people where they already manage their time. The customer should not have to open a new app to know when their meeting is. They should open their calendar.
